Privacy policy
How we collect, use and protect your information.
Last updated October 2026.
Who we are
Business Overhead Solutions Limited (“BOS”, “we”) is the controller of the personal information described here. We’re registered in England and Wales, company number 10331810, registered office 57 East Street, Colchester, CO1 2TQ. We’re registered with the Information Commissioner’s Office, number ZA268137. You can contact us about anything in this policy on 01206 805 948 or by post at that address.
What we collect
- Enquiry details: your name, business name, email, phone number, postcode and anything you tell us when you fill in a form or call us.
- Energy and telecoms information: bills, meter numbers, usage, current suppliers, contract dates and pricing, so we can compare and arrange contracts.
- Broker applications: your contact details, experience and anything you tell us about yourself.
- Call recordings and notes of conversations, where we keep them to record what was agreed.
How we use it, and why we’re allowed to
- To respond to your enquiry and prepare quotes, because you’ve asked us to (steps before entering into a contract).
- To arrange and manage contracts with suppliers, and to contact you before your renewal (performance of a contract and our legitimate interests).
- To keep records we’re legally required to keep, such as tax and accounting records (legal obligation).
- To assess and onboard brokers (legitimate interests).
We don’t sell your information, and we don’t send marketing to people who haven’t asked to hear from us.
Who we share it with
- Energy and telecoms suppliers, to get quotes and set up contracts you’ve chosen. Suppliers may run credit checks as part of their own process.
- Brokers in our network, where your enquiry came through, or is being handled by, that broker.
- Service providers that help us run the business, such as Zoho (customer support and records) and Cloudflare (website hosting). They act on our instructions and must keep your information secure.
- Regulators, ombudsmen or the police, if we’re legally required to.
Some of our service providers may process data outside the UK. Where they do, we make sure appropriate safeguards are in place, such as the UK’s approved contract clauses.
How long we keep it
If you don’t become a customer, we delete enquiry details within 2 years. For customers, we keep records for 6 years after your last contract with us ends, so we can deal with any queries or claims and meet tax requirements.
Your rights
You can ask to see the information we hold about you, ask us to correct or delete it, object to or restrict how we use it, or ask for a copy to take elsewhere. Contact us using the details above. We’ll respond within one month.
If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk. We’d appreciate the chance to put it right first.
